How do I invite attendees to a pre-arranged meeting?
The simplest way is to download and install the Outlook plug in from thedownloads section, which enables you to include your personal meeting room URL in your meeting invitations at the click of a button. You can also copy and paste your meeting room URL into any IM or email or text message. You will find your room URL on your My Account page or Control Meeting page of the VuCall portal.
How many participants will a VuCall meeting room accommodate?
The standard personal meeting room setting allows up to 10 participants. If you need more than 10 you can request an increase up to 50 participants or request a public room to be set up on your corporate account. Contact VuCall Customer Support
How can I control access to my personal meeting room?
You can create a meeting room PIN on your My Account page on the portal. When you occupy your meeting room you can also “Lock” the room from the Control Meeting page of the portal. This will block access to everyone else who is not already in the meeting. Only the meeting room owner can use this feature.
Can a meeting room be made private?
You can do this as above by using a PIN and/or locking the room when in use. You could also clear or reset your room URL and not share it with anyone but this would be equivalent to hanging a large “DO NOT ENTER” sign outside your office. Access to a public meeting room can be controlled in the same way by the owner of the public room.
Do I always need to use my meeting room for a call?
No, if you only intend to meet with one other person it is simpler and more efficient to use the Direct Call feature. You also have the option of requesting a public meeting room to be set up for regular large business meetings for a particular purpose, for example a weekly sales meeting.
Do I need to make a reservation for a VuCall meeting room?
VuCall is a reservation-less conferencing system designed to be flexible and personal. You can use it whenever you want for formal and informal meetings and conferences. You are in control.
Can I connect to other video conferencing systems?
It is possible to connect from your desktop to a legacy MCU-based video conferencing system providing it complies with certain video and audio standards. Please contact VuCall to arrange for a technical audit and advice on integration.
Does the meeting host have access to any different and useful features?
The meeting room owner, who will often be the meeting host or chairman, has access to the Control Meeting page on the portal. From here the video and audio of each participant can be toggled on and off. This can be useful if a participant is interrupted, for example by a phone call, and forgets to use the privacy settings on their own toolbar. The meeting room owner can also lock the meeting room and disconnect individuals if they leave the meeting but forget to disconnect on their desktop. The meeting room owner can also send real time invitations over VuCall to other potential attendees.
Is it possible to show presentation slides in a video meeting?
Yes, by opening the presentation application on your desktop and clicking the Share button on your toolbar. Note that because VuCall runs on a variety of platforms you can still share the same view of the application even though you may not have it installed on your computer. This applies to all types of document: spreadsheets, word processing, graphic images, charts, etc.
